Email a breach alert
Save and activate the breach alert template to email an Interval's owner and their manager when it runs past its goal.
When an Interval runs past its goal, Sojourn marks it as breached: the Live values job marks an Interval that is still open, and a stay that closes past its goal before the job saw it is marked when it closes. The Sojourn Breach Alert Template Flow turns that moment into an email to the Interval's owner and, when they have one in Salesforce, their manager. It ships inactive, so nothing is sent until you choose to.
Turn it on#
- In Setup, open Flows, then Sojourn Breach Alert Template, and choose Save As, a new Flow.
- Change the subject and the body if you like. They name the record, the Tracked field, the value, the goal, and the business minutes so far.
- Activate your copy.
Good to know#
- For an open Interval, the alert fires inside the Live values job, which sets the breach. Schedule the Live values job on the Jobs screen of Sojourn Settings, under Operations; without it, open Intervals are not marked breached and no alert is sent for them. Run now on its card flags them at once. See Run the jobs.
- By default the template emails only while an Interval is still open, when someone can still act. To email for a stay that closed past its goal too, open Sojourn Settings, then Alerts under Time, turn on Also email when a stay closes past its goal on the Breach alerts card, and choose Save. When to turn it on, on the card, explains the choice. The setting applies to every Tracked object; the breach flag and reports are the same either way.
- Only Intervals owned by a user are alerted. Queue-owned Intervals have no user to email.
- Only active users get the email. A record owned by an inactive user sends no alert, and when the owner's manager is inactive, the owner alone gets it. A copy you saved from an earlier version of the template keeps its own steps: save a new copy, or add Active Equals True to the Get Owner and Get Manager conditions of yours.
- Each email counts toward the org's daily email limit. If an email cannot be sent, the Flow ends without it and the save that marked the breach carries on.
- The email names the record and the value it is in, and the manager receives it whether or not they can open the record. If your record names are private, take the name out of the subject and body in your copy.
- Your copy is yours to change: add a condition on the Tracked field, or send to a team address instead.
You are done when
- An Interval owned by you passes its goal and, after the next Live values run, you receive the alert.
