Build a dashboard
Build your own Sojourn dashboard of time in each value, Goals, Breaches, and owners, then edit its layout, zoom into a chart, and print it.
Sojourn Dashboards is a tab where each manager builds their own dashboards of where the time went. A dashboard is yours alone: nobody else sees it, and you see only your own. It is part of the Plus plan; on the Free plan the tab shows what it offers and how to get Plus, and the Sojourn reports and dashboards stay on Free.
Before you start#
- You need the Sojourn Manager or Sojourn Admin permission set, which include the Sojourn Dashboards permission and the tab. See Assign permission sets.
- The charts read Interval Summaries, which the nightly Summaries job builds. See Run the jobs. Open now and Longest open are counted live.
After an upgrade. The charts for everyone read summary rows that the Summaries job writes from the first night after the upgrade. To fill past months at once, open Sojourn Settings, then Summaries, and select Rebuild under Rebuild summaries. See Summaries.
Start a dashboard#
- Open the Sojourn Dashboards tab in the Sojourn app.
- On an empty dashboard, select Start from Support desk for ten charts to begin with, or Edit layout to start from an empty grid.
- Choose the Tracked object and Tracked field above the charts. The filters apply to every chart on the dashboard and are kept with it.
- Choose the Period (7, 30, or 90 days), Business hours or Calendar hours, and an Owner, or Everyone.
The line at the right of the filters says when the summaries were last built and when Open now was counted.
To switch dashboards, select the dashboard's name. The list also has New dashboard. You can keep up to 20 dashboards with up to 20 charts each, or fewer when your admin sets lower limits (see Set what dashboards start with). A new dashboard opens on the Tracked field, period, and hours your admin chose; a saved one keeps its own filters.
The charts#
| Chart | What it shows |
|---|---|
| Number | One figure for the period: Open Intervals now, Intervals, Average hours, Breaches, or Goal met, with the period before |
| Bars | Each value against its Goal, or each owner against the team average |
| Trend | The busiest values in each day, week, or month: three unless your admin chose one or two |
| Share | Each value group's share of the period's time, or each value's when the field has no value groups |
| Heatmap | Breaches or Intervals for each value with each of the busiest owners (12 unless your admin chose), and Others |
| Table | The open Intervals furthest past their Goal (50 unless your admin chose), with each record's time against its Goal |
The owner charts, Bars by owner and the Heatmap, show owners only: Intervals of records with no owner, such as a tracked child in a master-detail relationship, are left out of their bars, Others, and the team average, and the Owner list offers only owners. The charts for Everyone still count them.
Goal met is the share of the Intervals that had a Goal when the stay began that finished within it. Intervals in a value with no Goal are left out, so a value, owner, or period where none had a Goal shows a dash, not 100 percent. A Number of Goal met shows the dash alone then, with no On track or Down state.
After upgrading to this version. Summary rows built before it do not count which Intervals had a Goal, so Goal met shows a dash wherever a chart adds one up, even after the nightly Summaries job adds a late Interval to the row. Run Rebuild summaries once after the upgrade, over the months the charts reach back to. A month a purge has cut into cannot be rebuilt, so Goal met shows a dash for it.
A day, week, or month with no Intervals has no average. A Trend of average hours leaves a gap in the line there, a Number's sparkline leaves the bar out, and the chart's table and its tooltip show a dash, which a screen reader reads as "No Intervals"; counts and Breaches show 0.
Point at a bar, cell, or line to see its numbers. Select Expand on a chart to see it full screen; on a Trend, drag across the chart to zoom into a range. The chart's menu has Edit chart, Show as table, Duplicate, and Remove from dashboard.
A Trend draws a week or a month the dashboard's period covers only part of, such as the first and last week of a 30-day period, and says so: its axis label, its tooltip, and its row in the table read "part week" (or "part month"), and the legend adds a note when there is room. Those periods hold fewer days than the others, so read them as part of the trend, not as a drop or a rise.
You can set the zoom range without the mouse. In the full-screen view of a Trend, From and To list each period's start; choose one in each to zoom into that range. A range always holds at least two periods: if you choose a start at or after the other end, the other end moves with it. Choosing the whole range again means no zoom. Reset zoom returns the chart to the whole range and puts focus on From.
A chart adds up month totals instead of day totals, and its subtitle ends with "by month", in two cases. The first is when its period reaches back further than the roll-up days, since a complete purge run removes the day totals older than that (see Summaries); a Number counts the period before as well, so with the roll-up at 35 days a 30-day Number reads month totals, and with it at 400, the default, every chart reads day totals. The second is a lot of Intervals over a long period. The measures mean the same, but a 30-day period then starts at the beginning of its first month, so it counts a few more days, and a Number compares with the same number of whole months before, which its caption names. If even the month totals are more than one chart can add up, the chart says so in place of its numbers: choose a shorter period or one owner.
Edit the layout#
- Select Edit layout.
- Drag a chart from Components onto the grid, or select one and press Enter to add it at the bottom.
- Drag a chart to move it. Charts snap to the dots, and the charts in the way move down.
- Drag a chart's right edge, bottom edge, or corner to resize it. Each chart type stops at its smallest and largest size, and the badge says why.
- Select a chart to change its title, type, measure, grouping, or size on the right. With the keyboard, the arrow keys on a chart's handle move it, and Shift with an arrow resizes it.
- Select Save layout, or Cancel to keep the dashboard as it was. Undo and Redo go back and forward up to 50 steps.
To rename or delete the dashboard, select an empty part of the grid while editing: the right panel shows the dashboard's name and Delete dashboard.
Sojourn Dashboards writes each dashboard's layout and filters itself. If they are changed another way, for example by a data load or through the API, and gain a key Sojourn does not write or a value of the wrong type, the dashboard stays in the list, counted with no charts, but does not open: the page says why. It opens again once its layout and filters are saved again with only the keys Sojourn writes; or delete the dashboard's record.
Print or save as PDF#
- Select Print or PDF.
- Choose Black and white or Colour, A4 or Letter, and whether to add the data tables at the end. The preview starts with what your admin chose, Black and white, A4, and the data tables unless they changed it.
- Select Print. For a PDF, choose Save as PDF in the print dialog, with landscape pages.
In black and white, each series has its own pattern, dash, and marker, so the charts read without colour. If a chart's numbers cannot be read when you print, its data table at the end says why in place of the table.
Set what dashboards start with#
A Sojourn Admin sets, for everyone who builds a dashboard, what a new dashboard opens on, what the charts show, what the print preview starts with, and the limits. Open Sojourn Settings, then Dashboards under Data. The settings are on the Plus plan: on the Free plan the screen shows them with their controls off and the Plus notice. Each setting names its default, and a blank box always means the default. Changing a setting needs the Customize Application permission, as the other Sojourn settings do.
| Card | Setting | What it sets | Default | Range or choices |
|---|---|---|---|---|
| New dashboards | Tracked field | The Tracked field a new dashboard opens on | The first Tracked field | Your Tracked fields |
| New dashboards | Period | The days a new dashboard covers | 30 days | 7, 30, or 90 days |
| New dashboards | Hours | Business or calendar hours for a new dashboard | Business hours | Business or Calendar hours |
| Charts | Owners in an owner chart | The busiest owners Bars by owner and the Heatmap show; the rest add up as Others | 12 | 5 to 20 |
| Charts | Owners in the Owner filter | The busiest owners of the period the Owner filter lists | 50 | 10 to 100 |
| Charts | Values in a Trend | The busiest values a Trend draws, a line each | 3 | 1 to 3 |
| Charts | Rows in Longest open | The open Intervals furthest past their Goal the table lists | 50 | 10 to 100 |
| Printing | Colours | What the print preview starts in | Black and white | Black and white or Colour |
| Printing | Paper | The paper the print preview starts with | A4 | A4 or Letter |
| Printing | Data tables | Whether the preview adds each chart's numbers at the end | Added | On or off |
| Advanced | Dashboards for each person | The most dashboards one person can have | 20 | 1 to 20 |
| Advanced | Charts on a dashboard | The most charts one dashboard can hold | 20 | 4 to 20 |
| Advanced | Summary rows one chart adds up | Past this, a chart reads month totals; still past it, the chart asks for a shorter period or one owner | 20,000 | 5,000 to 40,000 |
Each card has its own save. A number outside its range is refused, for example "Owners in an owner chart: enter a whole number from 5 to 20, or leave it blank for the default, 12.", and nothing on that card is saved.
- A saved dashboard keeps its own filters; only new dashboards open on the Tracked field, period, and hours here. If the Tracked field you chose is no longer tracked, new dashboards open on the first Tracked field again.
- Anyone printing can still change the colours, paper, and data tables in the preview.
- A lower limit never removes a dashboard or a chart. Someone over a lower limit keeps every dashboard and cannot add one; a dashboard over a lower chart limit keeps its charts, can still be saved, and cannot gain one.
- A larger summary row limit lets a long period stay on day totals for longer, and each chart takes longer to load; a smaller one moves to month totals sooner.
These settings travel in the settings file, and Reset to defaults puts them back.
You are done when your dashboard shows its charts for the Tracked field you chose, and opens the same way the next time you open the tab.
